Owners who search for after hours call answering usually know that calls are slipping past them. What they rarely know is how many. That number decides whether a plain voicemail greeting, a human night service or an AI receptionist (software that answers calls, takes a message or books a callback) is the right spend, and it takes seven evenings to find out.

The phone is worth protecting. In the Truecaller, Tata Tele Business Services and Kantar State of Business Calling 2026 survey of 1,000 consumers across 17 Indian cities, 76% preferred a voice call from a business over email, SMS or chat. A call that nobody answers wastes the channel customers prefer.

How many calls do you miss after hours, and is it worth fixing?

Log every call that arrives after closing for seven nights. If five or more a week go unanswered, paid cover is worth pricing. Below that, a good greeting and a morning callback are enough. Five a week is our rule of thumb, not an official threshold: at about 20 calls a month and ₹3,000 profit per customer, one recovered customer already outweighs the cost of every plan in the cost table below.

Use your phone's call log. Count calls from numbers you do not recognise, from closing time until opening time, including Sundays and holidays.

Pass: every unanswered caller was called back by 10 am the next working day. Fail: any caller was called back after 10 am, or you cannot say who called. In our view, a caller who waits past noon may already have rung a competitor, so a fail on the callback column matters even when the call count is low.

Choose by what the caller needs. Routine questions and lead capture suit an AI receptionist; emergencies and upset callers suit a person; a very low call count suits a voicemail greeting plus a fast callback.

A human is better than an AI when a caller is distressed or the sale needs judgement. What does after hours call answering cost in India?

Two clinic-focused providers publish AI receptionist prices as of 10 October 2026: ConnectAI at ₹800 a month plus ₹4 a minute (dental clinics), and Hellodesk from ₹1,999 a month, where its calculator recommends ₹2,499. Add GST (Goods and Services Tax), 18% on most business services, unless you can claim it back as input credit.

Human night services in India are quoted per business rather than from a rate card, so put your written quote into the break-even formula below. A night hire costs the salary you set, plus any shift allowance.

Per-minute pricing needs a worked example. Our model: 20 after-hours calls a month at an assumed 3 minutes each is 60 minutes, so 60 × ₹4 = ₹240, plus the ₹800 plan, which is ₹1,040 a month before GST. Change the 20 and the 3 to your own numbers from the count above.

How many won-back customers pay for after hours cover?

One won-back customer covers any plan below ₹3,000 a month if each customer earns you ₹3,000 or more in profit. The formula is our model: monthly cost ÷ profit per customer, rounded up. Use profit, not revenue, and exclude GST on both sides.

Read it against your count. If you miss 20 calls a month and a third are genuine enquiries, that is about seven prospects. Winning back even a couple settles the decision for the lower-cost rows. Not every recovered caller is a customer you would otherwise have lost, so treat the table as the minimum you need, not a forecast. A ₹20,000 option needs seven customers at ₹3,000 profit, so it only suits businesses where one job is worth far more.

Why do answering services still lose customers?

In our view, three gaps cause most lost callers (our inference, not measured data):

    The caller was answered; the business never knew.

    It takes a name and says "someone will call you", with no price, slot or next step.

How do you test an after hours service before relying on it?

Make three calls from a number the service does not know: 9 pm on a weekday, 11 pm, and Sunday morning. Say a name and number slowly and ask one real question. Run the test inside a free trial where one is offered (Hellodesk lists 14 days), then check five things.

Does it answer within 30 seconds?

Pass: a voice or AI greeting within 30 seconds on all three calls. Fail: ringing out, voicemail, or a wait longer than 30 seconds on any call.

Does it capture your number correctly?

Read your number out digit by digit, mixing Hindi and English if your callers do. Pass: every digit right on all three calls. Fail: any wrong or missing digit.

Does the message reach you within 10 minutes?

Pass: the message is on your phone, with the caller's number, within 10 minutes of each call. Fail: any message arrives later than that or never.

Does it handle your question?

Pass: a correct answer, a booked slot, or a clear callback time. Fail: "someone will call you" with no time, or a wrong answer.

Does it still work a week later?

Repeat all three calls after seven days. Pass: all three pass the four checks above again. Fail: any call fails any check.

What should you tell callers when an AI answers or the call is recorded?

Tell callers at the start of the call that an AI assistant is answering and the call may be recorded. It is good practice now and prepares you for the notice duty in India's data protection Rules, due from 13 May 2027.

Under the Digital Personal Data Protection Act, 2023, a Data Fiduciary is the business that decides why and how personal data is processed. A caller's name and number are personal data, and Rule 3 of the Digital Personal Data Protection Rules, 2025 sets out the notice a Data Fiduciary must give. The Rules were notified on 13 November 2025. As of 10 October 2026 the notice duty is not yet in force. MeitY (the Ministry of Electronics and Information Technology) has proposed a shorter window that has not been notified.

Voicemail is enough only if you call every caller back by 10 am the next working day and few callers need an answer immediately. Your seven-night count shows this: if callers leave messages and you return them on time, keep voicemail.
You can, and it costs nothing, but you become the night shift. It works for owner-run businesses with a handful of calls. It fails when you are asleep, driving or on another call, so add a callback list for anything missed.
An emergency should reach a named person on their mobile within minutes, not wait for morning. Write down what counts as an emergency for your business, give the service that rule, and test it with a call before relying on it.
Some callers will hang up when an AI answers, and the share differs by business and greeting, so measure it. Keep the 'Hung up within 10 seconds' column from your seven-night count and compare AI nights with your voicemail nights.
You should get every message on your phone, with the caller's number, within 10 minutes, and one named person should own the morning callback. If a service cannot show this in the three-call test, do not pay for it.
