Cloud Telephony Services: How to Choose in India

TL;DR

Choose cloud telephony services in India by first choosing the customer journey, then selecting a number, route, team access, recordings, integration and automation. A shared virtual number and missed-call rule suit small enquiry teams. Add IVR for real department choices, CRM integration for required write-back, and specialised calling routes before promotional or service campaigns.

Choose cloud telephony services by mapping one customer journey to six choices: number, routing, team access, recordings, integration and automation. For most small Indian teams, the right starting point is one shared business number, a clear answer order and one owner for missed calls.

Cloud telephony is the hosted calling layer behind a business number, call routing, recording and reporting. DoT includes cloud-based EPABX and CPaaS within its enterprise communications scope.

Choose Your Setup with This Checklist

Start with the work a caller needs done. The checklist below turns a broad software search into a setup you can ask a provider to configure.

This table gives you the minimum viable setup. Adding features before a customer journey needs them makes the service harder to run and the invoice harder to understand.

Write this brief before you compare plans:

We need a [number type] for [new enquiries, support, sales follow-up or missed calls]. It must route calls to [people or teams] during [business hours] and handle [after-hours rule]. [Number] people need to answer or call. We need [recordings, reports, CRM fields or automation]. Please separate subscription, users, numbers, usage, implementation and GST in the quote.

Start with the Call Your Customer Makes

A cloud telephony purchase goes wrong when a team buys features before deciding what happens to a real caller. Pick the closest workflow below and build from it.

New Enquiries

Use one public business number when leads arrive from Google Business Profile, listings, ads or referrals. Set the first person or team to ring, the number of seconds before the next route, and the fallback when nobody answers.

A small team usually needs a ring group, call history and a missed-call alert. It needs an IVR only when callers must choose a genuine destination, such as sales, service or billing.

Sales Follow-Ups

Use a business calling workflow when salespeople should call from one recognisable company number instead of personal SIMs. The minimum setup is click-to-call, call notes, call outcomes and a shared record of who called the lead.

Give every salesperson a defined follow-up rule. For example: “A missed enquiry belongs to the assigned salesperson until a manager reassigns it.” That rule matters more than a dashboard.

Support and Quality Reviews

Use recordings when a manager needs to review important conversations, settle disputes or coach agents. Decide the recording announcement, who can listen, how long recordings are kept and who can export them before switching recording on.

A useful support dashboard starts with answer rate, missed calls, average talk-time and peak calling hours. Metrics become useful only when one person reviews them on a set schedule.

Missed Calls and After-Hours Enquiries

Choose the next action for every unanswered call. The route can ring another teammate, create a callback task, send an alert or hand off to an automated call flow.

Set a callback deadline that fits your business. A clinic may need a callback during working hours, while a property enquiry may need a response within minutes.

CRM or Helpdesk Workflows

Only pay for an integration when the team needs calls to create or update a record in another system. Name the exact CRM or helpdesk, the fields that must be saved, and whether staff need click-to-call, caller context or automatic logging.

“CRM integration” is not a complete requirement. Ask to see one incoming call and one outbound call recorded against a real contact before you buy.

Choose the Number and Routing Rules

The number is the customer-facing identity. Routing is the internal rule that decides who receives each call.

Choose a shared virtual business number when customers should reach the company, even when staff change. Choose a local DID when a local office identity matters. Choose a toll-free route when your public helpline needs that format.

Then write these four routing rules:

  1. Office hours: Who receives the call first, and who receives it next?
  2. Busy or unanswered: How long does the first person ring before the call moves?
  3. After hours: Does the caller hear a message, reach an on-call person or create a callback?
  4. Two simultaneous calls: Where does the second caller go?

Test every rule from an external phone. A routing diagram that looks correct in a demo can still fail when two customers call together.

WhatsApp needs a separate number check. WhatsApp lists VoIP, toll-free, premium and UAN numbers as unsupported for registration, while landlines are supported only on WhatsApp Business as per the WhatsApp number rules.

Add Recording, Reporting and Automation in Order

Start with recordings and reports only when someone has a defined use for them. A sales manager may review lost deals each Friday. A support lead may check unanswered calls every morning. Those routines determine which features are worth paying for.

Use automation after the manual workflow is clear. A missed-call automation should have one job: capture the missed enquiry and trigger the next owner. An AI voice agent should have one defined task, such as answering routine questions, collecting basic details or routing a caller.

At TalkEasy, our virtual business number gives teams one shared number with call routing, recordings, team management and analytics. Our AI call summaries help a team turn recorded calls into requirements, objections, next follow-ups and outcomes.

Set up Commercial Calling Correctly

Separate inbound and follow-up calling from promotional outreach. A normal business calling workflow can handle customer enquiries and service conversations. Promotional voice calls require the appropriate commercial-calling setup.

TRAI states that promotional voice calls use the 140 series and require the sender’s voice headers to be registered with a telecom service provider. TRAI’s 140 guidance Service and transactional calling use separate series, with 1601 rollout applying to additional sectors under TRAI’s current direction. TRAI’s 1601 direction

Put this question in your provider brief: “Which number series and sender-registration workflow applies to our outbound calls?” Answer that before launching a campaign or buying an auto-dialling tool.

Compare the Full Monthly Cost

Use this calculation for every provider quote:

Subscription + users + number rental + calling usage + recording retention + integration or implementation + GST

Telecommunications services attract 18% GST, so add GST when a quoted price says “+ GST.” CBIC’s GST rate

A cheaper monthly plan can cost more when it includes too few users, limited call usage or a required annual payment. A more expensive plan can cost less when it includes the users, routing and call volume the team already needs.

Ask every provider for these eight line items:

  1. Plan name and billing period.
  2. Included users and added-user price.
  3. Included number type and number rental.
  4. Included call usage, credits or talktime.
  5. Concurrent-call capacity.
  6. Recording access and retention.
  7. Integration and implementation charges.
  8. GST and total cash due at signup.

Run Five Calls Before You Publish the Number

Run the same tests during a trial or onboarding. Do not publish the number on ads, signage or WhatsApp until each one works.

  1. Answered inbound call: Call during office hours. Check that the intended person receives it.
  2. Unanswered inbound call: Let the first person miss it. Check that the call moves or creates the promised callback task.
  3. After-hours call: Call outside the configured window. Check the after-hours route.
  4. Two simultaneous calls: Call the number from two phones at once. Check that the second caller gets the planned treatment.
  5. Outbound call and call record: Place a call from the team app. Check the displayed business number, logged contact, notes and recording access.

Keep a short scorecard: pass, fail, owner and fix date. That turns a trial into an operational test instead of a product tour.

A Shared-Number Setup for Growing Teams

At TalkEasy, we suit Indian SMB teams that need one business number, unlimited users and contacts, recording and history, team management, analytics and AI Call Assist without buying a seat-heavy contact-centre setup.

Start with a shared business number, test the five calls above, then use our cloud telephony cost guide to build the invoice for your real call volume.

FAQs

Can Employees Use Their Personal Phones for Business Calls?

Yes, employees can use their own phones when the business calling app supports that workflow. The key requirement is that the customer-facing number, call history and routing remain with the business. Personal phones should be the device, not the owner of the customer relationship.

Can a Cloud Telephony Number Work with WhatsApp Business?

Yes, but the number type decides whether WhatsApp accepts it. WhatsApp excludes VoIP, toll-free, premium and UAN numbers from registration, and supports landlines only on WhatsApp Business. Choose the number for its calling workflow first, then check WhatsApp eligibility before you promote it.

Do Two-Person Teams Need Cloud Telephony?

Yes, when both people need to answer one business number or preserve shared call history. A two-person team usually needs a virtual number, a simple ring order, missed-call ownership and call logs. It does not usually need a multi-level IVR or contact-centre software.

Can We Add CRM Integration Later?

Yes, if the chosen provider supports the required CRM route or custom integration. Start by documenting the contact fields, call outcome and follow-up action your CRM must receive. That makes the later integration scope clear and prevents the team from paying for a connector that does not match its process.
