Call Recording Announcement in India: What to Say and How to Test It

A call recording announcement should say the call is recorded, why, how long it is kept and how to object. Test it with five calls, one per type, before going live.

Key takeaways

  • A good announcement says four things: the call is recorded, why, how long you keep the recording, and how to object.
  • An announcement is a notice, not consent. Where you rely on consent under the DPDP Act, the notice must explain its specific purpose from 13 May 2027.
  • Google's Phone app announces recording automatically, but most business platforms leave the wording and the on/off decision to you.
  • Test five call types (inbound, outbound, transferred, callback, after-hours). A call type passes only if it passes all five checks, including the purpose, retention and objection wording.

Google's Phone app announces recording whether you like it or not, but a business has to write its own announcement. Most people who search this phrase want the voice to stop on their own phone. A business that records customer calls has the opposite job: deciding what the voice says.

That decision is yours, because no regulator supplies a script. The announcement is a notice to the caller, not a permission slip: it tells the customer what happens to their voice, meaning why it is recorded, how long it is kept and how to object. Only the business can fill that in.

A generic line stays fine as a courtesy, but it says nothing about why you record, how long you keep it, or whether software transcribes it. Below are lines you can paste, a table of where to play them, and a five-call test to run on your own number.

What should a call recording announcement say?

Say four things: that the call is recorded, why, how long you keep the recording, and how the customer can object. Keep it to our recommended ceiling of 15 seconds and play it in the language you open the call with. Three versions follow, from a courtesy line to the fullest.

Line A: courtesy line only (fails check 3 below; not the standard to test against)

  • English: "This call may be recorded for quality and training purposes."
  • Hinglish: "Quality aur training ke liye is call ko record kiya ja sakta hai."

Line B: purpose, retention and objection (use this from May 2027)

  • English: "This call is recorded to check our service quality, train our team and settle any dispute. We keep recordings for [X] days. Tell us now if you do not want to be recorded."
  • Hinglish: "Yeh call service quality jaanchne, team ko training dene aur kisi bhi vivaad ko suljhane ke liye record ho rahi hai. Recording [X] din rakhi jaati hai. Agar aap record nahi karwana chahte, toh abhi bataiye."

Line C: Line B with software use merged in

  • English: "This call is recorded, and software writes a summary, to check our service quality, train our team and settle disputes. We keep recordings for [X] days. Tell us now if you do not want to be recorded."
  • Hinglish: "Yeh call record ho rahi hai aur software summary banata hai, service quality jaanchne, team ko training dene aur vivaad suljhane ke liye. Recording [X] din rakhi jaati hai. Agar aap record nahi karwana chahte, abhi bataiye."

Three rules for filling these in:

  1. Replace [X] with the shortest retention period that covers your purpose.
  2. Decide before launch what happens when someone objects. Brief your agents on it. If your platform cannot stop recording mid-call, do not promise that in the line.
  3. Time the lines. In English, Line A is 10 words, Line B is 33 and Line C is 37. At an assumed speaking rate of 150 words a minute, Line C takes 14.8 seconds, inside our recommended ceiling of 15 seconds. Have a Hindi speaker on your team read the Hinglish aloud with a stopwatch.

A good announcement is short enough to say in one breath and covers four points.

Does Indian law require a call recording announcement?

No Indian law requires an announcement when you record your own call as a participant. From 13 May 2027, if you rely on consent under the DPDP Act, you must give a notice that states the specific purpose.

India's baseline is one-party consent: a participant in a call may record it, and recording a call you are not part of is prohibited (Recordinglaw). Your agent is a participant in every call, so recording your own customer calls sits on the lawful side of that line.

The announcement therefore does a different job. It is the notice that tells a customer what happens to their voice, and the Digital Personal Data Protection (DPDP) Act, 2023 now governs that. The DPDP Rules were published in the Gazette on 13 November 2025 (G.S.R. 846(E)); Rules 3 and 5 to 16 apply 18 months later, on 13 May 2027 (MeitY text of the Rules). The Press Information Bureau states that every data fiduciary (the business deciding why and how personal data is used) "must issue a separate consent notice that is clear and easy to understand" explaining "the specific purpose". As of October 2026, the commencement date remains 13 May 2027; MeitY floated a shorter 12-month window in January 2026 for significant data fiduciaries,.

Penalties are ceilings, not fixed fines. The PIB lists up to ₹250 crore for failing to keep reasonable security safeguards and up to ₹50 crore for any other violation by a data fiduciary. It also says individuals may withdraw consent at any time, and that access, correction and erasure requests must be answered within ninety days.

Your staff knowing about recording tells the customer nothing.

An announcement is a notice, not consent; if you rely on consent, use the press-1 opt-in. Ask a lawyer whether you rely on the customer's consent or another lawful ground for your recordings; the purpose and retention lines in Line B are useful under either.

Why does "quality and training" stop being enough from May 2027?

"Quality and training" names one purpose, while most businesses use recordings for more. The Rules ask the notice to explain the specific purpose, so a recording announced for quality should not quietly serve disputes, sales coaching or AI summaries as well. Our recommendation is to list every use you actually make of recordings in the announcement, and to cut the ones you do not.

Coaching is the most common second use. If you review recordings to coach telecallers, as covered in how to coach telecallers using call recordings, say "train our team" in the line, as Lines B and C do.

Retention is the other gap. It is a choice you make on your platform: Exotel's default for call recordings is 90 days, configurable by plan. Our recommendation: pick the shortest period that covers your purpose, for example your dispute window, put that number in the announcement, and set your platform to delete on schedule.

Who decides the recording announcement: your phone or your platform?

On Google's Phone app the announcement is automatic and cannot be switched off. On most business platforms you decide the wording and whether it plays. Google's Phone app help says both people are notified when recording starts and stops, and that recording is not available in every country.

Business platforms work the other way. In the four other providers below, the business configures the announcement or informs callers itself:

ProviderHow the announcement works
Exotel

Recording is off by default and plays no announcement by itself. You add a Greeting step first in the call flow. An optional "press 1 to continue, 2 to opt out" is documented. Recordings are kept 90 days (configurable, plan-dependent).

Settings are set country by country. The default shows the agent "Explicit consent to record the call is suggested in this country".
One on/off toggle. When on, both caller and recipient hear the announcement.
Businesses set permissions, inform callers themselves and manage storage retention; retention limits depend on the plan.
TalkEasyThe announcement plays at the start of every recorded call.

TalkEasy publishes this page and is one of the five platforms in this table. Provider details are as of October 2026.

Which calls need a recording announcement, and where should it play?

We recommend announcing every recorded call, and playing it first, before the customer says or hears anything personal. Our recommendation for each call type:

Call typeWho must hear itWhere it plays
Inbound to your business numberThe callerBefore the call reaches an agent
Outbound to a customerThe customerThe moment they answer, before the agent asks for any detail
Transferred callAnyone joining who was not on the original call

Once at first connection; again if a new outside party joins. See warm vs cold transfer

Callback after a missed callThe customer, who did not expect this call

First thing on connection. See the missed-call callback workflow

After-hours message recorded as a voicemailThe callerIn the greeting, before the tone

For outbound recording setups, see outbound calling and recording options.

How do you test a recording announcement in five calls?

Place one test call of each type from the table above, from a number that is not on your team, and score each call on five checks. Use a stopwatch.

A woman makes a test call with one phone while four others and a stopwatch lie on her desk.
Each call type gets its own timed call, so gaps in the announcement show up before customers hear them.
CheckPassFail
1. Heard by the customer sideThe customer-side phone hears the announcementSilence, or only the agent hears it
2. PositionIt finishes before the agent asks for a name, number or payment detailThe agent speaks first or talks over it
3. ContentThe announcement, together with anything the agent says before the conversation starts, names the purpose, the retention period and how to objectAny of the three is missing
4. Length15 seconds or under (our recommended ceiling)Over 15 seconds
5. Saved recordingPlay the saved recording back from your call history: the announcement is audible at the start and the recording is in the place you expectMissing, cut off or stored elsewhere

Pass mark: a call type passes only if it passes all five checks; fix any miss and rerun that type. Line A is a courtesy line: it fails check 3 and is not the standard to test against. For the after-hours message, check 5 passes when the saved message is where you expect it and the greeting that plays before the tone carries the announcement, even if the announcement is not part of the saved audio. Run the test again whenever you change the wording, the call flow or the platform.

How do we handle recording announcements at TalkEasy?

Our Business Dialer records calls and plays an announcement at the start of every recorded call. Call recording and call history are included on both Pro and Enterprise, alongside click-to-call and call logging. Team members see shared call history and recordings, and you assign each person a role from the Team Centre.

On a TalkEasy number, add the rest of Line B as your agent's opening line: the purpose, the retention period and how to object. Our AI Call Summaries transcribe each recording and write a short summary with intent and follow-up. If you use them, have the agent say that software writes a summary.

As of October 2026, TalkEasy Pro is ₹999 + GST a month with three hours of talktime a day, and extra talktime costs ₹49 + GST an hour. Enterprise is priced on request.

Run the five-call test above on your TalkEasy number. If a call fails, email support@groweasy.ai with the call type and the check it failed. To go through your wording with a person, Talk to Our Expert.

Frequently asked questions

Not on Google's Phone app: Google's help page says the notice to both people cannot be disabled, and recording is only available in some countries. For business calls, most platforms let you set the wording instead.
A participant may record their own call under India's one-party baseline, while recording a call you are not part of is prohibited. A business should still tell customers, and from 13 May 2027, where it relies on consent, the notice must state its purpose.
Use one when you rely on the customer's consent, because consent under the data protection law can be withdrawn at any time. Platforms such as Exotel document a "press 1 to continue, press 2 to opt out" option. Brief agents on what happens when someone refuses.
Keep them only as long as your purpose needs, and say the number in the announcement. Exotel's default is 90 days, configurable by plan. Choose the shortest period that covers your dispute window.
Yes, if software transcribes or summarises the recording, because that is a further use of the customer's voice. Add one clause, such as Line C's. Our AI Call Summaries transcribe each recording and write a short summary with intent and follow-up.
